ERPJewels is a tool written to get fetch the data from various data sources (Extract), Convert data to information (Transform) and presents them in user friendly manner (Load).

It'S  written in Baan 4GL (Extract & Transform part) and Visual Basic (Load part) to facilitate user do periodic and ad hoc analysis from From 2 data sources (Baan report and Baan table ) in a user friendly manner.

The tool transforms bulky data into user understandable summaries. The tool transforms bulky data into user understandable summaries.

Features:


1. Two Tabular data source: There are 2 data source this tool considers.

    a. Baan Report : It is any Baan report with analytical information and users wishes to use calculated fields and view the graphs for the figures contained therein.

    b. Baan Table: Any Baan table with analytical information.

So the user can create analysis from any of the data source and convert the same to very user friendly Excel sheet and graphs.


2. Three  Tabular summary output: There are 3 excel based output load clients.

     a. Excel Summary - It's a 2 dimensional summary output.In this output user gets the summaries in excel spread sheet form with / without graphs. Number of distinct columns can be data dependent upto 250 and number of distinct row items upto 65000. This output is very useful for comparative analysis.

     b. Save as XLS - This is plain excel output without any analytical data transformation. The user will get the output in Excel for the data source desired and then he/she can do analysis by himself/herself.

    c. Excel Pivot Table - This is multi-dimensional output with extremely   user friendly interface of Microsoft office. Pivot table has a limit of    8000 distinct row and 250 distinct columns. These limits also are reasonably high. Within these limits it's an excellent output.

3. Calculated Items:  Business works in a dynamic situation and so are it's MIS requirement. Every change in business and every change in MIS requirements may call for systems change technically. Following calculated fields are possible with this tool.

    a. Date conversion - Many a statistics require date information in the data sources to be converted to week, month, quarter etc and then give the statistics. With the help of this tool, dates can be converted to

                    i. Yearly                                                  

                   ii.  Half-Year

                   iii. Quarter
                   iv. Month
                    v. Fortnight
                   vi. Week


    b. Custom grouping - Normally the data source of codes of the key fields (like ledger, item, employee etc). But their description and grouping may reside on another Baan Table. So its possible to do look-ups to other Baan table and get analysis results.

     c. Data Classification - Many a times there may be need to do some grouping outside Baan to do some simulations e.g. Categorize all customer begin with A as A category, Categorize items with 6 characters as Prime raw material etc, Categorize 0-50 day old invoice as A, Categorize sales invoice with invoice amount between 0 to 100000 as A Sale ad hoc classifications etc. Such ad hoc classifications are easily possible with the help of this tool.


    d. Alphanumeric classification - Any alphanumeric data source also can be classified separately based on its values , matching patterns , number of characters therein.

    e. Formulae Construction - Some data sources are raw and require data manipulation among the data fields to arrive at better analysis. In such a case there is a need to allow user to construct formulae. For Baan table it is possible to construct formulae. As Baan report itself is an output with processed information, there is no need to construct formula for this data source.

      f. Hierarchies - Hierarchies are hierarchical structures outside data source. Various kinds of hierarchies can be created maintained and used in ERPJewels load client pivot Tables.

      g. User Defined Functions - This is unique feature of ERPJewels .It lets user write any Baan 4GL  function and integrate the same with analyses in ERPJewels.

4. Graphical Output:- With the help of this tool its possible to  get any excel graph. User can map this graphs in Baan. Further if the user is using Excel 2002 then he/she can get Excel diagram online. Excel 2002 diagrams are presentation material. Excel diagram style gallery is very powerful and contains good number of styles in its repository.

5. Hierarchical Reporting:  In Baan report there is good hierarchical relationship between various after field figures. So there is no need to transform. All we need is to extract the figures from the report and load into drill down analysis. Further user can define his/her own hierarchical relationship and do drill down analysis on any data source.

6. Analysis Scheduling: Barring ad hoc analysis, all analysis are periodical.  This tool leverages the periodical nature of analysis and allows user to run analysis periodically without user intervention. This saves user a lot of  effort required in creating analysis and enables him to concentrate more on the analysis interpretation and action if any required. Thus it facilitates the sophisticated System pushed intelligence as against  User pulled intelligence.

      a. Baan report as a data source has the benefit of entering selection criteria directly in Baan session invoking the report. So there is no need to provide separate selection criteria for Baan report Data source. On the other hand Baan Table requires selection criteria. ERPJewels takes care of this aspect easily.

      b. Baan report has limitation of not being able to do aggregate data manipulations like weighted averages through front end. This is in-built in the tool.

     c. Baan report has very good transformed analytical figures in the report in the after field section. The tool must be capable of extracting the same from the reports after field sections so that it does not have to transform the same again enhancing the throughput performance.

     d. Analyses based on Baan report have to be scheduled using Baan job management only. Further Baan reports can be printed in special user choices and/or using brp functions instead of rprt functions .So separate user interface and logic is in-built to integrate the tool seamlessly with Baan Job management comprising all complex conditions. Baan table have relatively simpler job management which runs through Baan job management. This facilitates sophisticate Push Intelligence as against traditional user driven Pull Intelligence.  At the same time it gives following advantages to users

           i. From date corrections for getting correct analyses results

          ii. Recognizing non-date based period indicators and using is for   generating analysis (e.g fiscal periods , week number etc).

      e. Data source like Baan table need row level data manipulations to do meaningful analysis. So Formulae construction is part of the tool for these data source. Baan report already having transformed figures and values, no such separate formulae constructions have been provided.

      f. Table indices are typical to Baan table data source. So for Baan table data source extensive use of table indices is made to ensure quick performance. The program decides which table index to be used for query generation on its own.

      g. Selection criteria for all data sources are available along with final output. This helps user understand the results better even at a later date. When the data warehousing option is set to yes (ie after analysis action is save) even the selection criteria stored for future reference.

      h. Certain analyses are only for certain codes of the entire master table. This tool allows user to enter any number of specific values for the analysis. For analyses based on Table specific field specification is allowed.

7. Common Data Entry for all Data types: As the ERPJewels DTS is written completely in Baan 4GL using native Baan tools and functions and complete Baan dictionary information is accessible easily, user has lot of advantages which may not be available with any other external non-Baan DTS (ie not written in Baan 4GL)  .

      a. Domain level validations for Baan table - e.g tcncmp does not allow number more than 999. So this tool also will not allow user to enter number higher than 999.

      b. String length - User can not enter field value with a length higher than the domains specified length.

      c. Legal and illegal characters recognition - Non-Baan external DTS can not recognize the legal / illegal characters for a field. If at all it is available (through reading tools tables also externally), it is slow and prone to higher maintenance effort.

      d. Case conversion and Alignment - ERPJewels DTS automatically understand the field case and alignment. This is not possible with non-Baan 4GL/external DTS.

      e. Company number specification for Baan table - Outside Baan the tables are physically stored separately for each physical. So when one wants to combine the results from these different companies outside Baan, one has to write / run separate queries for separate companies. With ERPJewels DTS separate companies can be combined in single query using Baan dynamic SQL.

      f. Date Entry / display / validation etc - For date type of field, the user can enter days, day/month, + number of days, -number of days, zoom to ttstpcalender.  Outside Baan this may not be possible or may be extremely difficult due to the way dates are stored in Baan.

      g. Enum/set field entry/ display /validation - Enum / set fields can be entered easily like display enum option on zoom /F4, enter first few char. Outside Baan environment this may be very difficult or not at all possible.

      h. Negative enum functionality for Baan table -e.g. in table tdinv700 if the field Order type is production issue or sales delivery, the user should consider the quantity negative else positive. This functionality lets user aggregate values differently based on value of enum field.

      i. Validations for combined and text fields - These are not allowed for analysis based on Baan table.

      j. Dynamic zoom for all kinds of data - For various frequently used domains (like tccuno, tcsuno , tfgld.leac etc)  the tool allows to store the zoom session in a table and uses this to allow user to view the master table dynamically for any field with respective domain.

      k. Use of like operator - Baan 4GL allows agile pattern matching capabilities (against table field and against variables) which may not be available outside Baan.

8. Analysis History :- The critical analyses can be saved for future reference so that user need not go to the transaction system again to get the same analyses. So steps of extract and transform are eliminated and output will come faster. The output will come along with selection criteria at the time of generating the analysis. Subsequently user can see/view his/her analysis history also. Associated with analysis history user is able to see the selection criteria for a particular analysis. This is very important because getting the output without knowing what it is, is of no use. Thus data redundancy within Baan in multi-dimensional structure is an excellent advantage.

9. Backward and forward integration: - The tool allows users to run certain 3GL or 4GL programs in Baan after the analysis is over. These programs can update the user transactional data based on the analysis results.  This will help in cases where user needs to revise his/her budget / forecast in definite fashion based on analysis results. Thus user is saved of unwarranted data entry. Further user can have a separate non-excel based load client also for forward integration.
